Re Leave Liability Reporting Preparation for Fiscal Year-End (FYE)

The SSC is preparing to publish the first draft of your agency’s Leave Liability Reports to each college folder on SharePoint by Wednesday, July 8, 2026, and will send a second communication once reports have been published.

To produce the most accurate results, please ensure that all absence requests for Leave Year 2025-2026 have been submitted and approved by the close of business on Monday, June 29, 2026.

Agencies may use the VX_AM_TAKES_NOT_PROCESSED query to identify any absence requests that have not been processed.

Once the reports are final and posted, agencies will need to perform the remaining procedures in the year-end reporting process outlined by Virginia Department of Accounts (DOA).

Reminder: Agencies must ensure employees are in the correct leave plan based on employee classification, years of state service, and retirement elections. Incorrect calculations of the benefits service date will result in wrong accrual rates. Please check your reports carefully and correct any discrepancies. Please refer to the Leave Liability Training* for assistance with how to calculate accurate benefits service dates. (*Note: Use your MyVCCS login credentials to access the training). The Leave Liability Report is posted to your college SharePoint folder quarterly and is intended to be reviewed and verified for your college’s employees.
