To support the resolution of historical exceptions within the HCM system, the SSC TLAM team has made available the VX_TL_OUTSTANDING_EXCPTNS_ALL query for the period of 12/25/2024-12/24/2025 to each college folder on the VCCS SharePoint website.    

This query provides a comprehensive listing of all outstanding exceptions from the previous year (e.g., 9/25/2024–9/24/2025; 12/25/2024–12/24/2025; 3/25/2024–3/24/2025; etc.).

Please note: Most exceptions presented in the query are permissible and will not impact the employees’ pay; however, it is necessary for the college Time Administrator to validate these exceptions before clearing them.

If the exception remains, it can be allowed by navigating to Manager Home > Time and Absence Approvals > Exceptions. 

Exception reasons that are not permissible are highlighted in the attached Exception List and will require additional action to resolve.

Examples of how to clear the exceptions:

  • Reported Hours < Scheduled Hrs. = Ensure the employee has completed the timesheet, click “allow” for the exception.
  • Qty cannot be zero = Remove all zeros from each timesheet. You may need to go back several pay periods.

It is recommended that managers review and address their exceptions by the end of each pay period. Please refer to the attached Exception List from the Managers’ HCM User Guide for guidance in resolving any outstanding exceptions.
