Dear Colleges,
We’re happy to share that the SSC has published an updated, ADA‑compliant Business Meal Approval Request Form (Non‑Travel Meals), which is available on the SSC Website’s Forms page, under Procurement. (We recommend bookmarking the Forms page rather than saving the form locally to ensure you always access the latest version.)
To help everyone transition comfortably, we’ve put a grace period in place through January 26, 2026. During this time:
- If you already have requests underway using the previous form, you can continue moving those forward as long as they meet the documented authority requirements.
- For any new requests, please begin using the updated form right away.
- After January 26, the updated form will be the only version accepted for non‑travel food purchases.
A Few Helpful Tips
- In the event information dialog box, please include enough detail for us to determine whether a Certificate of Insurance (COI) is required, as well as anything your college approvers might need to keep things moving quickly.
- Use “Total Quoted Amount” only for per diem items.
- “Number of Participants” refers to confirmed participants, per CAPP Manual Topic 20335. “Estimated Number of Attendees” is for events open to the public in support of the agency’s mission.
