Re Avature Onboarding — I-9 Forms and E-Verify Integration Updates

After collaborating with College HR representatives, we have partnered with Avature Onboarding to implement significant updates to the I-9 forms, E-Verify integration, and related workflows. These changes are crucial for improving data accuracy, streamlining processes, and enhancing compliance. They include adding conditional fields, removing duplicates, enabling better integration with E-Verify, and implementing efficient workflow management. These improvements aim to provide a user-friendly interface, secure error handling, and targeted visibility, ultimately enhancing the overall user experience and ensuring regulatory compliance.

The following information outlines updates and changes to the I-9 employee and employer forms, E-Verify integration, and related workflows to improve data entry, verification processes, and compliance. Expect to see these changes implemented by July 18, 2025.

Employee (Section 1) Form Enhancements:

  • Added single-option questions for work authorization documents with conditional fields for USCIS A-Number, Form I-94, and foreign passport details. Based on the employee’s answer, the corresponding field will display for inputting the necessary information.

  • Removed duplicate expiration date fields in Section 1.
  • Set the date field to default to the current date.
  • The employee email address field can be left blank without generating an error.

Employer (Section 2) Form Enhancements:

  • Conditional display logic has been implemented for document verification fields in Employer Section 2, ensuring that fields are shown only when relevant options are selected.

  • Removed duplicate employer information fields, including Title, Last Name, First Name, Business or Organization Name, and Address.
  • The address input is now a single-select field that obtains Employer address information from the agency dataset.

  • Modified “Closure Reason” field visibility based on previous selections.

Reverification and Rehire (Section 3/Supplement B) Updates:

  • Added conditions and options related to reverification processes
