Each quarter, the Shared Services Hire to Retire Service Line posts a list in Sharepoint of your agency’s restricted positions that will expire in the upcoming quarter. The Third Quarter Expiring Positions Report has now been posted to Sharepoint and includes any positions expiring in January, February, and March.
WHY IS THIS IMPORTANT?
When restricted positions expire, it could indicate that the budget for that position has run out and needs to be reviewed by College HR before extending. In addition, when restricted positions are in an expired status, they and the employees seated in them are unavailable for Position updates (such as supervisor updates or budget changes), or Job Data updates (including things such as SLI increases, promotions, or even terms/transfers out). Because the position has expired, HCM no longer acknowledges the employee or the position and therefore blocks those transactions from occurring.
WHAT SHOULD YOU DO NOW?
To ensure your restricted positions are within budget and their employees remain available for processing, please take the following actions:
- Access your report by going to the VCCS Shared Services Information SharePoint site and visit the “Quarterly Expiring Positions” folder in your college’s Hire to Retire Documents.
- Review your query and add a column to note any new expiration dates for the positions listed.
- Upload the validated spreadsheet back to the Quarterly Expiring Positions folder for your Hire to Retire Technician to retrieve and update HCM.
