The below notification from the Virginia Retirement System (VRS) to College Benefit Administrators was shared with the SSC HR Operations team to consider a way to provide improved efficiencies and eliminate the need for paper forms and manual processing.

Members also may now set up and update beneficiaries through myVRS for their defined-benefit member account and group life insurance. The online process saves time and eliminates the need to submit a paper form to VRS. Although the Designation of Beneficiary (VRS-2 ) remains available on the website, VRS anticipates phasing out the form by early next year.

The notice and the process for moving forward with this change in the Avature onboarding system were shared with the HR Process Council Members and implementation was approved. In addition, the VCCS CHRO group was advised of the approved update, and further feedback was provided.

Effective November 10, 2021, the VCCS onboarding task in the Avature onboarding system for all eligible new hires to designate beneficiaries will move from the manual tasks of downloading the form, completing the fields, printing the form to sign, and then uploading back to Avature, to the simple process of signing onto the VRS website and completing the documents online. This transition will also eliminate the need for College HR to download, print, and mail/fax the document to VRS. The new hire will finalize their task in Avature by marking the designation of beneficiaries complete and the system will notify College HR the task has been done.

Due to the upcoming expiration of the SilkRoad onboarding system in March 2022, no changes will be made to the current beneficiary task in this system.
