| Reason | Reminder – Updated Business Meal Approval (“Food”) Form Now Available |

Dear Colleges,
As a reminder, the SSC released an updated, ADA-compliant Business Meal Approval Request Form (Non‑Travel Meals), which is available on the SSC Website’s Forms page, and recommends bookmarking the page to access the latest version. We have found that the form performs optimally when completed using Adobe Acrobat. Other methods, including browser-based completion, have been observed to display dates incorrectly. Please make sure to use the clickable electronic signatures in the form. If the form is printed, signed, and scanned again, it will lose its accessibility features.
There is a grace period through January 26, 2026, during which previous forms can be used for ongoing requests if they meet requirements; however, all new requests should use the updated form. After January 26, only the new form will be accepted
To help everyone transition comfortably, we’ve put a grace period in place through January 26, 2026. During this time:
- If you already have requests underway using the previous form, you can continue moving those forward as long as they meet the documented authority requirements.
- For any new requests, please use the updated form.
- After January 26, the updated form will be the only version accepted for non‑travel food purchases.
